EPF Passbook Not Updating โ€” How to Fix

Your EPF passbook should reflect contributions within 3โ€“7 days after your employer deposits them. If your passbook is stuck showing an old balance, this guide covers every possible reason and how to fix it.

Why Is Your EPF Passbook Not Updating?

Reason How Common Fix Difficulty
Employer has not deposited contributions Very common Medium
UAN not activated Common (new employees) Easy
KYC not approved Common Easyโ€“Medium
EPFO server/portal issues Occasional Wait it out
Employer filed ECR but payment pending Common Medium
Member ID not linked to UAN Rare Medium

Fix 1: Check if Your Employer Has Actually Deposited

The most common reason โ€” your employer has not yet remitted the EPF contribution for the month.

How to verify

  1. Go to EPFO Unified Portal
  2. Login with your UAN and password
  3. Click View โ†’ Passbook
  4. Check the last entry date โ€” if the latest month is missing, your employer hasn't deposited yet

What to do

  • Ask your HR/accounts department for the payment challan or ECR receipt
  • Employers must deposit by the 15th of the following month (e.g., June salary PF by July 15)
  • If your employer consistently delays, file a complaint at EPFO Grievance Portal

Tip: Under Section 14B of the EPF Act, employers who delay deposits are liable to pay damages.

Fix 2: Activate Your UAN

You cannot view your passbook if your UAN is not activated on the member portal.

Steps to activate

  1. Go to EPFO Member Portal
  2. Click Activate UAN (below the login form)
  3. Enter your UAN, Aadhaar or PAN, name, date of birth, and mobile number
  4. Verify with the OTP sent to your registered mobile
  5. Set a password and login

Your passbook should be accessible within 24 hours after activation.

Fix 3: Get Your KYC Approved

If your KYC (Aadhaar, PAN, bank account) is pending or rejected, passbook access may be restricted.

Check KYC status

  1. Login to EPFO Member Portal
  2. Go to Manage โ†’ KYC
  3. Check the status column โ€” it should show Verified (green tick)

If KYC is pending

  • Aadhaar: Ensure your name and date of birth on EPFO match your Aadhaar exactly. Even a single character mismatch causes rejection.
  • PAN: Name must match your PAN card records.
  • Bank account: IFSC code and account number must be correct and account must be active.

If KYC is rejected

  1. Correct the mismatch (update Aadhaar at your nearest enrolment centre if needed)
  2. Re-submit KYC on the portal
  3. Ask your employer to approve it from their end
  4. Wait 2โ€“5 working days for verification

Fix 4: Fix EPFO Portal / Server Errors

The EPFO passbook portal frequently shows errors during peak hours.

Common errors and solutions

Error Solution
"Service unavailable" Try after 10 PM or early morning (before 9 AM)
"Passbook not available" Your employer may not have filed the first ECR yet
Page not loading / timeout Clear browser cache, try a different browser
"Invalid UAN/password" Reset password using the Forgot Password option
Blank passbook page Disable ad-blocker and try in incognito mode

Best times to access

The EPFO Passbook Portal works best during off-peak hours: before 9 AM or after 9 PM IST.

If you changed jobs and your previous Member ID is not linked to your current UAN, those contributions won't show in your passbook.

  1. Login to EPFO Member Portal
  2. Go to View โ†’ Service History
  3. Check if all your previous Member IDs are listed
  4. If any are missing, request an EPF transfer to consolidate

Alternative Ways to Check EPF Balance

If the passbook portal is not working, use these methods:

1. UMANG App

  1. Download UMANG from Play Store / App Store
  2. Open โ†’ Search EPFO
  3. Select View Passbook
  4. Enter UAN and OTP
  5. View your latest balance and transaction history

2. SMS (No Internet Needed)

Send an SMS to 7738299899 from your UAN-registered mobile number:

EPFOHO UAN ENG

Replace ENG with your preferred language code:

  • HIN โ€” Hindi
  • TAM โ€” Tamil
  • TEL โ€” Telugu
  • MAL โ€” Malayalam
  • KAN โ€” Kannada
  • BEN โ€” Bengali

3. Missed Call

Give a missed call to 011-22901406 from your registered mobile number. You'll receive an SMS with your latest PF balance.

Note: SMS and missed call services only work if your UAN is linked to your Aadhaar and bank account (KYC verified).

4. EPFO Website Direct

Visit https://passbook.epfindia.gov.in โ†’ Enter UAN and password โ†’ Download passbook as PDF.

When Does the Passbook Typically Update?

Event Expected Update Time
Employer deposits contribution 3โ€“7 working days
New UAN activation 24โ€“48 hours
KYC approval 2โ€“5 working days
EPF transfer credited 15โ€“30 working days
Interest credit (annual) End of financial year (usually by Juneโ€“July)

Annual interest is credited once a year, typically between April and July. Don't worry if you don't see monthly interest entries.

Still Not Updated? File a Grievance

If your passbook hasn't updated for more than 2 months despite employer deposits:

  1. Go to EPFiGMS Grievance Portal
  2. Register with your UAN
  3. Select grievance category โ†’ Passbook related
  4. Describe the issue with specific months and amounts
  5. Attach employer's payment challan if available
  6. Submit โ€” you'll get a PGR number for tracking

Grievances are typically resolved within 15โ€“30 days.

Frequently Asked Questions

Why does my passbook show โ‚น0 balance?

Your employer may not have filed the first ECR (Electronic Challan cum Return) yet, or your Member ID is not linked to your UAN. Contact your employer's HR department.

Can I check my passbook without activating UAN?

No. UAN activation is mandatory to access the online passbook. Use the SMS or missed call method as a workaround if activation is taking time.

My employer closed down. How do I update my passbook?

Visit your regional EPFO office with your UAN, last salary slip, and ID proof. You can also file a grievance on EPFiGMS.

Passbook shows deposits but balance is wrong โ€” what to do?

Interest may not have been credited yet (it's annual). If the issue persists after July, raise a grievance citing the discrepancy.
