How to Track GST Refund Status
- Log in to gst.gov.in with your GSTIN and password
- Go to Services > Refunds > Track Application Status
- Select the ARN (Application Reference Number) of your refund application
- The status will show one of the following:
- Submitted โ Application received, pending processing
- Pending for processing โ Assigned to an officer but not yet reviewed
- Deficiency memo issued โ Officer found issues; action needed from you
- Provisional refund sanctioned โ 90% refund approved (for zero-rated supplies)
- Order issued โ Refund sanctioned or rejected
- Payment processed โ Money sent to your bank account
- Credit received โ Refund credited to your ledger
Common Reasons for GST Refund Delay and Fixes
1. Deficiency Memo (RFD-03) Issued
What it means: The GST officer found errors or missing information in your refund application.
How to fix:
- Log in to gst.gov.in and check your dashboard for the deficiency memo
- Read the memo carefully โ it will list specific deficiencies
- You must file a fresh refund application (RFD-01) addressing all deficiencies within 15 days of receiving the memo
- Common deficiencies include: missing documents, incorrect bank details, wrong refund amount, or incomplete Statement 3/3A
- Attach all supporting documents mentioned in the memo
- The fresh application will be treated as the original application date (no time-bar issue)
2. Show Cause Notice / Hearing Notice (RFD-08)
What it means: The officer proposes to reject your refund (fully or partially) and gives you a chance to respond.
How to fix:
- Check the notice details on the GST portal under Services > Refunds
- Prepare a detailed reply addressing each objection raised
- Submit your reply online within the time mentioned in the notice (usually 15 days)
- Attach supporting documents โ invoices, shipping bills, bank realization certificates, etc.
- You may also request a personal hearing โ mention this in your reply
- After hearing, the officer will issue a final order (RFD-06) within 60 days of application
3. Bank Account Validation Failed
What it means: The bank account details in your GST registration do not match or are not validated.
How to fix:
- Go to Services > Registration > Amendment of Registration
- Check the bank account details โ account number, IFSC code, and account holder name must match exactly
- The bank account must be in the name of the registered business (not personal account for companies)
- If you recently changed your bank account, update it in your GST registration first
- Wait for the amendment to be approved (usually 7-15 days)
- Only then will the refund be processed to the updated account
- Ensure the bank account is active and not frozen/dormant
4. Refund Application Not Processed Within Timeline

- For export refunds, the interest rate is 9% if delayed beyond 60 days

5. Refund Rejected โ What Next?
If your refund is rejected (RFD-06 with rejection):
- Read the rejection order carefully for the specific reason
- You can file an appeal before the Appellate Authority within 3 months of the order date
- File the appeal in Form GST APL-01 on the portal
- Pay 10% of the disputed tax amount as pre-deposit (maximum โน25 crore CGST + โน25 crore SGST)
- If the first appeal is rejected, you can go to the Appellate Tribunal within 3 months
