EPF Passbook Not Updated? Fix Balance & Contribution Issues

Your EPF passbook should reflect your latest contributions, but sometimes it shows outdated or missing entries. This is usually caused by employer delays in depositing PF, UAN activation issues, or pending KYC. Here is how to diagnose and fix the problem.

How to Check Your EPF Passbook

  1. Visit passbook.epfindia.gov.in
  2. Enter your UAN, password, and captcha
  3. Select your Member ID (linked to your employer)
  4. Click View Passbook to see contribution details

You can also check via:

  • UMANG app โ†’ EPFO โ†’ View Passbook
  • SMS: Send EPFOHO UAN ENG to 7738299899
  • Missed call: Give a missed call to 011-22901406 from your registered mobile

Common Reasons Passbook Is Not Updated

1. Employer Has Not Deposited PF

Problem: Your employer is deducting PF from your salary but has not deposited it with EPFO.

How to confirm:

  • Check your salary slip โ€” PF deduction should be listed
  • Compare with passbook entries โ€” if last few months are missing, employer has not deposited

Fix:

  1. Raise the issue with your HR/payroll department first
  2. If unresolved, file a complaint on EPF iGMS: epfigms.gov.in
  3. Select category: "Non-receipt of PF contribution from employer"
  4. EPFO can take action against employers for non-deposit under the EPF Act
  5. You can also file a complaint with the Labour Commissioner in your state

Important: Employers must deposit PF by the 15th of the following month. Non-deposit is a criminal offence under the EPF Act.

2. UAN Not Activated

Problem: Your Universal Account Number (UAN) is not activated, so you cannot access the passbook portal.

Fix:

  1. Visit the EPFO Unified Portal: unifiedportal-mem.epfindia.gov.in
  2. Click Activate UAN on the login page
  3. Enter your UAN, Aadhaar number, name, date of birth, and mobile number
  4. You will receive an OTP on your registered mobile
  5. Enter the OTP to activate your UAN
  6. Set a password for your account
  7. You can now log in and view your passbook

Note: Your UAN is printed on your salary slip or you can ask your employer. You can also find it by searching with your Aadhaar on the portal.

3. KYC Not Verified

Problem: Your Aadhaar, PAN, or bank KYC is pending on the EPFO portal, which can delay passbook updates.

Fix:

  1. Log in to the Unified Portal โ†’ Manage โ†’ KYC
  2. Add your Aadhaar, PAN, and bank account if not already added
  3. Submit for verification โ€” your employer must approve Aadhaar and bank KYC
  4. Wait for status to change from "Pending" to "Verified"
  5. KYC verification typically takes 3โ€“7 days

4. Multiple UAN or Member IDs

Problem: You have multiple UANs from different employers, and contributions are split across them.

Fix:

  1. Log in to the Unified Portal
  2. Go to Online Services โ†’ One Member โ€“ One EPF Account (Transfer Request)
  3. Select your previous Member ID and submit a transfer request to merge old PF into current account
  4. Once merged, all contributions will appear in a single passbook
  5. You can also contact your EPFO field office for UAN merging

5. Passbook Portal Technical Issues

Problem: The passbook website may be temporarily down or slow.

Fix:

  1. Try during off-peak hours (early morning or late evening)
  2. Clear your browser cache and try again
  3. Use the UMANG app as an alternative
  4. If the portal consistently shows errors, try after 24โ€“48 hours

6. New Employee โ€” Passbook Takes Time

Problem: You recently joined and your first contributions are not visible yet.

Fix:

  • It takes 1โ€“2 months for the first contribution to appear after your employer deposits it
  • Ensure your employer has allotted you a UAN and deposited the first month's PF
  • Check with HR if your EPF registration is complete

How to File a Complaint for Missing EPF Contributions

  1. Visit EPF iGMS: epfigms.gov.in
  2. Register/log in with your UAN
  3. Select "PF Account related" โ†’ "Non-receipt of PF contribution"
  4. Provide details: employer name, period of missing contributions, your Member ID
  5. Attach salary slips showing PF deduction as evidence
  6. Track your grievance using the grievance ID provided

Important Tips

  1. Check passbook monthly โ€” Verify contributions are deposited on time
  2. Save salary slips โ€” They are proof of PF deduction if employer fails to deposit
  3. Activate UAN early โ€” Do it within the first month of joining a new job
  4. Complete KYC immediately โ€” Verified KYC ensures smooth passbook access and future claims
  5. Use UMANG app โ€” It is often more reliable than the passbook website for quick balance checks

FAQs

How often is the EPF passbook updated?

The passbook is updated once your employer deposits the monthly contribution with EPFO. This should happen by the 15th of the following month. Updates may take a few additional days to reflect on the portal.

Can I check my EPF balance without logging in?

Yes. Give a missed call to 011-22901406 from your UAN-registered mobile number, or send an SMS EPFOHO UAN ENG to 7738299899. You will receive your balance via SMS.

My employer says they deposited PF but it does not show in my passbook. What should I do?

Ask your employer for the ECR (Electronic Challan cum Return) receipt as proof of deposit. If they cannot provide it, file a complaint on EPF iGMS. EPFO can verify deposits directly.

Can I view my EPF passbook on mobile?

Yes. Download the UMANG app (available on Android and iOS), register with your mobile number, and navigate to EPFO โ†’ View Passbook. You can also use the passbook website on your mobile browser.
