EPF Transfer Claim Rejected? How to Fix PF Transfer When Changing Jobs

Switching jobs in India means dealing with EPF transfer โ€” and it's broken more often than it works. Your transfer claim gets rejected, the old employer doesn't approve, member IDs don't match, or the claim sits in "pending" limbo for months.

Here's every fix you need.

Common EPF Transfer Rejection Reasons

Rejection Reason Error Message Fix
Name mismatch "Member details mismatch" Correct name in either old or new account
DOB mismatch "Date of birth does not match" Update DOB via employer
KYC not approved "KYC pending/not approved" Get KYC approved by current employer
Wrong member ID "Invalid member ID" Verify correct member ID from old passbook
Previous employer closed "Establishment not found" Use "employer not available" option
UAN not activated "UAN inactive" Activate UAN first
Digital signature issue "DSC verification failed" Employer needs to re-attest

Step 1: Activate UAN and Complete KYC

Before initiating transfer, ensure basics are in place:

Activate UAN

  1. Visit unifiedportal-mem.epfindia.gov.in
  2. Click "Activate UAN"
  3. Enter UAN, Aadhaar, Name, DOB, Mobile number
  4. Verify via OTP
  5. Set password

Complete KYC

  1. Login to UAN portal
  2. Go to "Manage" โ†’ "KYC"
  3. Add: Aadhaar, PAN, Bank Account, IFSC
  4. Submit โ†’ Your current employer must approve these on their portal
  5. Status should show "Verified" for each document

โš ๏ธ If KYC shows "Pending" โ€” contact your current employer's HR and ask them to approve on the employer portal.

Step 2: Find Your Old Member ID

Your old PF account has a Member ID format like: AABNK0012345000000123

How to find it:

  • Old salary slips (PF number mentioned)
  • Previous employer's offer/exit letter
  • Old EPF passbook: Check at passbook.epfindia.gov.in
  • Login to UAN portal โ†’ "Service History" โ†’ Shows all linked member IDs

Step 3: Initiate Online Transfer (Form 13)

  1. Login to unifiedportal-mem.epfindia.gov.in
  2. Go to "Online Services" โ†’ "One Member โ€“ One EPF Account (Transfer Request)"
  3. Verify your personal details and PF account details
  4. Select "Previous Employment" details:
    • Enter old Member ID
    • Enter old employer name/establishment code
  5. Choose who should attest: Previous employer or Current employer
    • Tip: Select current employer โ€” they're more likely to respond quickly
  6. Enter current PF account details
  7. Submit with Aadhaar OTP verification
  8. Note the tracking ID / claim ID

Step 4: Fix Specific Rejection Reasons

Name Mismatch Between Old and New PF Account

This is the most common rejection:

  1. Check your name in both accounts via Service History on UAN portal
  2. If old account has wrong name:
    • Submit Joint Declaration Form (available on EPFO website)
    • Both you and your old employer must sign
    • Submit to the EPFO office handling the old account
  3. If current account has wrong name:
    • Request correction through current employer
    • Employer updates on their portal โ†’ EPFO approves
  4. Shortcut: If the mismatch is minor (e.g., middle name missing), try submitting transfer anyway โ€” some EPFO offices accept it

DOB Mismatch

  1. Check DOB in UAN portal โ†’ "Manage" โ†’ "Mark Previous Employment"
  2. If DOB is wrong in old account:
    • Submit correction request through old employer (if available)
    • Or submit Joint Declaration with Aadhaar/PAN as proof of correct DOB
  3. If DOB is wrong in current account:
    • Current employer corrects via employer portal

Previous Employer Not Approving Transfer

This is extremely frustrating. Options:

  1. Contact old employer HR/accounts team directly โ€” send email with your UAN and member ID
  2. Select "Current Employer" for attestation โ€” refile the transfer with current employer as attesting authority
  3. Employer shut down? Select "Establishment closed / Employer not available" option during filing
  4. File EPFO grievance: Visit epfigms.gov.in โ†’ Register complaint โ†’ Select "Transfer" category
  5. RPFC complaint: Write to Regional PF Commissioner of the region handling your old account

UAN Not Linked to Old Account

If your old PF account predates UAN:

  1. Login โ†’ "Manage" โ†’ "Mark Previous Employment"
  2. Enter old Member ID and establishment details
  3. Old employer must verify on their portal
  4. Once linked, proceed with transfer

Step 5: Track Transfer Status

  1. Login to UAN portal
  2. Go to "Online Services" โ†’ "Track Claim Status"
  3. Status stages:
    • "Claim submitted" โ€” Waiting for employer attestation
    • "Attestation pending with employer" โ€” Employer hasn't approved yet
    • "Under process at EPFO" โ€” EPFO field office processing
    • "Claim settled" โ€” Transfer complete, check new passbook
    • "Claim rejected" โ€” Check rejection reason and resubmit

Step 6: Escalation for Stuck Transfers

Level How Timeline
EPFO Grievance Portal epfigms.gov.in Response in 7-15 days
CPGRAMS pgportal.gov.in โ†’ Ministry of Labour 15-30 days
EPF Appellate Tribunal For claims stuck 60+ days Legal route
Social media Tweet @socialaborEPFO with your UAN Often gets fastest response
RPFC Office Visit Regional PF Commissioner office Walk-in for urgent cases

Special Cases

Multiple PF Accounts from Multiple Jobs

  • You can transfer ALL old accounts into your current one
  • File separate transfer requests for each old member ID
  • All will merge into your current UAN account

PF Account Older Than 10 Years

  • Old accounts (pre-2014) may not be on the online system
  • Visit the EPFO office handling that account physically
  • Carry: Old salary slips, appointment letter, resignation letter, Aadhaar, PAN

International Transfer (Coming Back to India)

  • If you were on international assignment, PF may be with International Workers scheme
  • Different process โ€” contact EPFO international desk
